Job Title: Business Support OfficerLocations: Cambridge, CB2Contract Type: TemporaryWork Pattern: 9 – 5 As a Business Support Officer, you will be responsible for providing administrative support for Council services and acting as the initial point of contact for customers, staff, and external organisation's enquiries and referrals. This is a great opportunity to work for a reputable organisation and make a difference in the community.Job Role – Undertaking a range of administrative tasks to include monitoring of generic mailboxes, mail merge, processing applications for Taxicard, Housing parking permits, market / charity stall and street collection application licences.Providing the initial contact for customer enquiries received into Business Support via email, phone and job tickets through the portal, ensuring customers' requests/complaints are clearly understood and actioned.Working with services to address the demand for planned and adhoc operational support requests including support for projects, adapting to new processes, liaising with teams, creating procedure notes and delivering on time.Creating, maintaining, inputting, and updating records, spreadsheets, and databases ensuring a high degree of accuracy, providing statistical information, and extracting data for management reports in various formats.Using the Financial Management System to raise and receipt purchase orders for the supply of goods and services, checking and coding invoices for payment, making procurement card purchases ensuring monthly reconciliation is completed within the required timescale.Organising meetings, sending out agendas, taking minutes, booking venues, equipment, etc. as required.Promoting and communicating the introduction of new systems, supporting services across the council with the implementation of new technology, providing guidance and training in its use including support with all equipment in meeting rooms e.g. audiovisual.Providing an incoming/outgoing mail service. Undertaking the scanning of correspondence and documents for services across the organisation. Preparing, checking, and distributing information as required.Carrying out any other duties as required by your line manager from time to time in accordance with the grading of the post. Candidate Requirements – Experience of office procedures contributing to the design, development and improvement of specified administrative processesExperience of Microsoft Packages and searching for information on the internetExperience of working to, and meeting deadlines whilst under pressureExperience of data collection, input, analysis, interpretation and running reportsExperience of the need to pay attention to detail with a high degree of accuracyExperience of creating emails and communicating effectively in an office environmentExperience of working within a team environmentExperience of arranging meetings, note-taking, and production of accurate minutes If you are interested in this position and meet the above criteria, please send your CV now for consideration.
