Key responsibilities Regular Maintenance: Act as a first point of contact for all maintenance-related queries (this may include HVAC systems, plumbing, electrical systems, lighting, flooring etc), escalating to the Maintenance and Facilities Manager and/or External Suppliers where required. Software Management: Run 'Maintenance App' effectively for all maintenance requests, ensuring requests are logged in properly and followed up regularly. Ensure important issues are prioritised and tickets are closed in a timely manner. Run regular reports for analysis and distribution. Repairs Coordination: Address maintenance issues promptly and effectively. Coordinate repairs with external service providers as needed and ensure that all repairs are completed to a high standard. Coordinate quotes and schedules for planned maintenance works. Create purchase orders for all maintenance-related expenditure, ensuring costs are receipted in a timely manner, using shared drives and MEO software as tools. Safety Compliance: Maintain compliance with latest health and safety regulations via H&S record keeping system, keeping track of actions and closing in a timely manner, escalating where necessary. Identify and address potential safety hazards, implement preventive measures, and participate in safety training initiatives. Coordinate Contractors Permit to Work' process ensuring all RAMS for works are reviewed and permits are issued and recorded. Documentation and Reporting: Keep accurate records of maintenance activities, repairs, and inspections. Support with project documentation such as punch list, closures tracking etc. Generate reports as necessary to track maintenance trends, identify areas for improvement, and support decision-making processes. Manage maintenance calendar, update and share it. Maintain and update Emergency Contact Lists for all sites, regularly communicating updated versions. Support all sites with ensuring statutory service reports are filed correctly. Collaboration: Collaborate with Store Administration Managers in store to support their facility-related needs and coordinate with them to agree work schedules for planned and reactive maintenance visits. Communicate effectively with team members and management regarding maintenance issues and solutions. Store visits: Assist during regular store visits to support in achieving optimal maintenance standards. Sustainability: Support team in implementing sustainable practices and objectives within all offices and stores. Store projects: Provide support to Real Estate team during minor renovation works and store projects as needed: - Attend store visits and report on works requests - Consolidate works requests and follow up works implementations. - Participate in rectification process of build defects and site handover. - Assist with project documentation and filing system. - Communicate project monitoring and outcomes. - Assist in new contractors and suppliers set up on financial system. Profile * 2 year minimum experience in Maintenance & Facilities. * Understanding of luxury retail environment which requires a constant attention to detail. * Familiarity with safety regulations and protocols related to facilities management. * Knowledge of building systems, incl. HVAC, plumbing, electrical, and mechanical systems. * Excellent communication and interpersonal skills and the ability to work collaboratively. * Ability to prioritize tasks to meet deadlines. * Excellent organization and administrative skills. * Microsoft office tools / Outlook. * Fire Warden Training - desirable. * First-aid at work certificate - desirable. * Flexibility and ability to travel within UK.
